What happens if a slot can't be filled automatically?
EasyAssignor fills every slot it can. When no eligible official is available for a slot — due to unavailability, a strike conflict, the weekly cap, school cooldown, or pool size — that slot is left open and flagged with a specific reason in the script output. You resolve those slots manually in the Assignments tab. The more officials you have in your pool and the more consistently you mark availability, the fewer open slots you will see.
Do official ratings affect who gets assigned?
Yes — ratings are central to how EasyAssignor works. The system uses a 1–5 scale with three distinct categories of position:
Clock positions (ECO and PC): No rating floor and no ceiling. A rating 1 official can work clock. A rating 5 official can also work clock when your pool size requires it — common in smaller associations during regular season.
Field positions (R, U, HL, LJ, FJ, SJ, BJ): Rating 2 or higher required. Rating drives game priority matching — higher-rated officials go to higher-priority games automatically.
AUX (Auxiliary Official): Must be field-ready to replace an injured official mid-game. The minimum rating is game-priority-matched — Priority A games require rating 4 or higher, Priority B and C require rating 3 or higher. AUX is primarily a playoff role in associations where pool size allows a dedicated backup.
The full rating scale: 1 = clock/support only · 2 = sub-varsity · 3 = varsity and early playoff rounds · 4 = all playoff rounds through semi-final · 5 = championship level.
Can I pre-assign a specific official to a game before running the automation?
Yes. Enter the official's name directly in the Assignments tab for any slot you want to lock in — a specific game, a specific position, or an entire crew. Then set PROTECT_MANUAL = True at the top of auto_assign.py before you run it. The script will fill everything else around your manual assignments and leave your locked slots untouched. Set it back to False for normal runs where you want the system to make all decisions.
Does it work with Google Sheets?
Yes. The workbook opens in both Microsoft Excel and Google Sheets. The auto-assign script runs separately on your computer.
Do I need to know Python to use it?
No — and a one-click setup file included with your purchase makes it even easier. Run it once and it checks whether Python is on your computer, installs it if needed, and installs the one required library automatically. After that, every assignment run is a single command. Do I have to assign the whole full season in one run?
Not at all. Assign one game, a single day, a full week, a month, or your entire season — whatever works for you. Run the automation as often as you like. Most assignors start with a week at a time and build from there. You will love the time it saves you.
Does this replace DragonFly or Arbiter?
No. EasyAssignor builds your crew assignments; your assigning platform publishes them. It does not notify officials, collect accepts and declines, or process payments — DragonFly, Arbiter, or whatever platform you use keeps doing that. Build your game-rated crews here, then enter the finalized assignments in your platform of record — nothing changes in how you use those systems today.
How does delivery work?
Each copy is personally prepared with your name, email, and order number embedded in the file before delivery. Your stamped copy arrives by email within 24 hours of purchase. This is not an instant download — we prepare each file individually to protect our intellectual property.
Can I share it with other assignors in my association?
The Individual License covers one named person only and is non-transferable. The Association License ($347) covers up to 3 current member-assignors within a recognized local officiating association. That is the correct license when multiple people in your organization need access.
